UENF professors can count on ASSAII in organizing information and processing documents for the signing of Conventions, Cooperation Agreements, and Protocol of Intent. The following is a summarized roadmap for formalizing partnerships with UENF:
- Expression of interest from the institutions involved: it will take place through contacts via e-mail between the research professors from the partner institutions. In this negotiation, the common interests for the beginning of the collaboration should be discussed.
- Elaboration of a proposal for an Agreement, Cooperation Agreement, or Protocol of Intent: the proposal must be prepared in Portuguese and in a foreign language that best suits the country (Portuguese, English, French or Spanish) following the models available at the end of this site or if applicable, prepare a new proposal in agreement with the partner institution. In the latter case, the responsibility for the translation of the terms will lie with the proposing academic unit.
- Proceedings at the competent bodies at UENF.
Important information that must be contained in the proposal:
- The term of validity, when applicable;
- Professors / researchers and students must take out international insurance for medical and hospital coverage and repatriation during their stay abroad;
- The necessary resources for the development of the collaboration (airline tickets, accommodation, etc.) must come from external sources.
Elaboration of work plan:
Partner professors must agree and sign an objective work plan, prepared in both languages, containing the following information:
- Identification of the object to be executed
- Goals to be achieved
III. Implementation steps or phases (schedule of activities)
- Plan of application of financial resources
- Forecast of the beginning and end of the execution of the object, as well as the conclusion of the programmed stages or phases:
If there is funding for the execution of the Work Plan, the source of the funds must be informed.
A process should be opened via SEI at the UENF academic unit for processing the request, attaching the file of the proposal for an Agreement, Cooperation Agreement or Protocol of Intent, a copy of the minutes of the Center Council meeting, and the work plan duly signed by professors from UENF and foreign HEI.
Under normal conditions, the procedures, up to the signature of the Rector of UENF, can take up to 60 days, after receipt of the documents by ASSAII.
The return of the terms signed by the foreign institution depends on the procedures followed by it. After returning the copies of the Cooperation Agreement or Agreement duly signed by the maximum foreign authority, the process is sent for publication in the Rio de Janeiro State Official Journal.
A copy of the publication and a copy of the signed Agreement will be sent by ASSAII to the executing academic unit for registration.
It is up to the Executor to monitor the activities and prepare reports as necessary. The Executor is responsible for informing, in writing, about the interest in continuing or ending the term of the Agreement or the Cooperation Agreement.
